Professional References: How to Ask and Prepare Your Contacts
Agree on permission and availability before sharing contact details. Use a fictional case, selection matrix and original messages to prepare references with accurate context.

Before sharing a professional reference, confirm that the person agrees, knows your work and will be available for contact. Explain the opening accurately, agree which details you may provide and send the list through the requested channel. If someone cannot participate, find an alternative before including their name.
A reference can discuss an experience they actually know. It is different from an employee referral for an opening, or someone who simply offered career information. This guide helps you prepare the contact without writing their assessment for them.
First, understand the employer's request
Harvard Law School's references guide advises supplying the list when requested and distinguishes reference contacts from recommendation letters. This is guidance for its US law-school community, rather than a rule governing every selection process.
Read the actual request: how many people, which professional relationship, what information, channel and deadline? An application form requiring references is already a request. Ask the recruiting contact if a field or requirement is unclear.
Prepare the list separately rather than adding other people's telephone numbers to a resume distributed widely. Do not turn a request for contact details into a signed letter either: they are different deliverables.
Choose according to work the person observed
The scenario involving Luísa, Marta and Claudio is fictional and was created by FoxApply. It represents no customer, product outcome or photographed person. Luísa handled customer service at a repair workshop. She is pursuing administrative opening ADM-18, involving scheduling and logging requests.
She starts with this original comparison:
| Potential reference | What they know directly | Decision before sharing |
|---|---|---|
| Marta, a former supervisor | Customer service, scheduling and routing requests | Ask whether she agrees to discuss that experience and check availability |
| Claudio, a course instructor | A spreadsheet project completed during the course | Consider only if the employer accepts academic references; identify that relationship |
| A director she met once | A short introduction, without observing her work | Do not choose by title; there is insufficient shared work to discuss |
| A former colleague unavailable at this stage | A shared customer-service routine | Leave off the current list and find a relevant alternative |
The criterion is not a prestigious name. It is the actual relationship between observed experience and the request. Your professional accomplishments inventory can help recall episodes. A fact you remember still needs to fall within what that person observed.
Ask specifically about permission and availability
MIT Sloan CDO recommends obtaining permission before sharing a name, then providing the resume and job description after agreement. Its guide serves the school's community; your preparation does not replace the employer's instructions.
Luísa could write:
“Hi Marta. I am taking part in the ADM-18 selection process at [employer], for administrative support involving scheduling and recording requests. The recruiting team asked for a professional reference. Would you feel comfortable and be available to discuss the period when we worked together at the workshop? If so, which contact details may I give this employer's recruiting team? I can share the listing and my updated resume. No problem if you are unable to help.”
If the employer supplied a deadline or expected contact window, share that information accurately. Do not invent a time to secure a response. Wait for agreement; silence does not confirm permission. Agree whether the person prefers email, telephone or another channel accepted by the process.
Provide context without directing the assessment
After acceptance, send what the person needs to understand the opportunity. A brief description can make it easier to read, but must remain faithful to the listing. Remove other people's details and unnecessary internal information from your resume before sharing it.
In the illustrative case, the context could be:
“The role involves organizing appointments and recording service requests. At the workshop, I updated the schedule and routed requests for confirmation; you observed that routine. My resume describes those activities. I did not work with budgets or purchase authorization. The employer said it intends to make contact at this stage, without specifying a time.”
This recalls facts and boundaries. It is not a statement for Marta to repeat, sign or present as her own opinion. Do not request specific praise, agreed ratings or confirmation of responsibilities she did not observe. If dates or roles are disputed, check your records before sending a corrected version.
Send the list through the requested route
After permission, check name spelling, the working relationship, the relevant role or context, and the authorized contact details. Include only information requested and agreed. If the recruiter requires a relationship you do not have, such as direct supervision, explain and ask which alternatives are accepted.
Use this original preparation record without publishing contact details:
| Field | Luísa's completed example |
|---|---|
| Opening and request | ADM-18; someone who observed administrative work |
| Person and relationship | Marta; former workshop supervisor |
| Recognized experience | Scheduling and routing requests |
| Permission and channel | Confirm agreement and contact details before sending |
| Context shared | Listing, reviewed resume and scope boundaries |
| Outstanding action | Check availability, then provide the requested list |
The worksheet records a pending action, rather than permission already obtained. The submitted list should identify relationships accurately: an instructor remains an instructor, and a colleague remains a colleague. Do not call someone your manager just to satisfy a form.
If someone cannot participate, update the list and explain
Accept a refusal without demanding a reason. If Marta is unavailable, Luísa could reply: “Thank you for letting me know. I will find another reference for this stage and will not share your contact details for this request.” Check the alternative's relationship, availability and permission too.
If details have already been sent and the person becomes unavailable, tell the recruiting contact through the agreed channel. For example: “One of the people listed is unavailable. May I substitute another reference who observed my work? I will confirm their agreement before sending the details.” Do not substitute silently or promise an unconfirmed deadline.
Record updates in your application tracker, without spreading personal contacts across shared files. Thank people for their help and share relevant changes. A reference request does not confirm an offer.
